Setting Your User Name
User Names are critical to maintaining accountability and transparency in collaborative InCopy workflows. When multiple team members work on the same document, the user name becomes your digital signature—automatically attached to every note you add, every tracked change you make, and every editorial decision you document. InCopy prompts you to set a user name during your first editing session, but managing this setting effectively requires understanding a few key scenarios and best practices.
Checking the User Name
Before diving into any editing work, it's essential to verify your current user name—especially in shared workspace environments or when using borrowed equipment. This simple verification step prevents attribution mix-ups that can derail collaborative projects and ensures your contributions are properly credited to you rather than a previous user.
Go to Window > Assignments.
At the bottom left of the panel, the User Name is displayed.
As shown below, the User Name is Ned Editor.

Once you've confirmed your current user name, you may need to change it. This is particularly common in modern hybrid work environments where team members frequently switch between personal devices, shared workstations, or remote setups.
How to Check Current User Name
Access Assignments Panel
Navigate to Window menu and select Assignments to open the panel that displays user information.
Locate User Display
Look at the bottom left corner of the Assignments panel where the current user name is prominently displayed.
Verify Identity
Confirm the displayed name matches your intended identity, especially when working on shared computers or systems.
When working on someone else's computer, always verify and temporarily change the user name to ensure your contributions are properly attributed to you rather than the computer owner.

- If you have any documents open, close them all.
- Go into the File menu and choose User.
Enter a unique User Name and Color. Click OK.
Pro tip: Choose a user name that clearly identifies you to your team—avoid generic names like "Editor" or "Writer" that could apply to multiple people. Your assigned color will visually distinguish your contributions from those of other collaborators in the document's change tracking system.
